Office Coordinator / Assistant CEO (m/f/d) - 20 - 30hours/week

We are currently seeking an Office Coordinator/Assistant to CEO to manage the office, perform administrative tasks and set up efficient processes. You’ll support global functions locally in the US, especially Finance, Commercial, and HR/People Operations. Primary Responsibilities

  • Ensure the office is operating smoothly; first point of contact for employees, guests, vendors, and inbound calls
  • Work with CEO and local R&D team lead to ensure that office policies and procedures are properly implemented
  • Facilitate communication between Leukocare AG (Germany) and Inc. (US); closely communicate with CEO and CFO
  • Provide administrative support for all team members
  • Assist Finance in accordance with company procedures and policies
  • Manage, monitor and document invoices and payments
  • Order office supplies and support the ordering of lab supplies
  • Handle inbound and outbound mail and courier services
  • Manage (mobile) phone accounts
  • In partnership with global Commercial team, support the organization of US customer events and trade shows Responsible for travel arrangements for the US team, as well as AG visiting team members
  • Assist and coordinate Leukocare’s People Operations to carry out various HR administrative activities, including:
    • Assist with the onboarding process for new hires
    • Assist with talent acquisition and recruiting
    • Provide HR support to all employees
    • Act as interface to local HR external services

Qualifications

  • BA/BS degree
  • Related experience in a similar role in an international environment
  • Strong communication, interpersonal and organizational skills
  • Can-do attitude and proactive approach/personality
  • Proficient in MS Office products
  • Team player 
  • Business fluent in German a plus
